Job Description
Project Coordinator Our growing company is looking for a motivated Project Coordinator to be part of the Company Operations Department. This role will suite best for an individual with Mechanical Engineering or Controls Engineering aptitude with previous experience as an Engineer, Technician or related Project Coordinator experience. The suitable candidate will have previous process engineering or operation background with HVAC design knowledge, technical knowledge or construction management experience.
Reporting to the Operations Manager, the Project Coordinator will be under direct supervision of Project Management and assist the project management team to manage and coordinate resources for company’s Design Team and Technical team, while performing all necessary coordination for service team. A Project Coordinator will work closely with Project Manager in manpower and resource planning while keeping track of manpower on each project and assisting Project Management with preparation of labor report and project progress report for regular reporting to PMO team. Position Responsibilities Include: • Gathers all necessary documentation on status of Company’s active construction projects. • Tracks deliverables of ongoing projects as well as service work. • Assists Project Management in preparation of Company’s process improvements policies, standardization of the engineering and system programming and start up processes • Tracks all projects deliverables and ensures deadlines are met and supporting documents are collected as necessary • Assist the Project Manager in drafting and issuance of project forecasts, budgets, and preliminary schedules • Act as a liaison with subcontractors; expediting drawings, shop drawings and related information • Maintain accurate and up to date RFI logs; track responses & advise the Project Manager of the status of RFI’s • Maintain accurate and up to date Change Logs; track responses & advise the Project Manager of the status of RFI’ • Maintain accurate and up to date Issue Logs; track responses & advise the Project Manager of the status of RFI’ • Coordinate submittals and procure all close-out documents, including warranties and operating maintenance manuals • Monitor field work and the project quality plan to ensure compliance with WM building standards, procedures, specifications and codes • Assist the Project Manager in the review of Contractor quotations to ensure that only fair and reasonable pricing is recommended for approval • Maintain and update the Shop Drawings Logs and review submittals • Ensure all required projects close out documents are obtained• Take and distribute meeting minutes • Complete project material ordering as per the PM instructions • Project coordinator is a helping hand for all project matters for the project manager.
Required qualifications & competencies: • Background in Mechanical Engineering, Controls Engineering, Electronics or Computer Engineering or Process Engineering • Project management aptitude • Understanding of HVAC system operations • Professional experience in HVAC or related fields • Experience with construction environment and project management • Excellent communication skills • Self-motivated, driven, detailed oriented and well organized. • Ability to multi-task in a fast-paced business environment.
