This highly visible position serves as a trusted partner and right hand to a deeply engaged CEO and other executive stakeholders, ensuring seamless execution across administrative, operational, and communication priorities./ppDynamic, energetic, and supremely organized, the Executive Assistant has a natural ability to anticipate needs, manage competing priorities, and operate with discretion. This is an exciting opportunity to contribute to a forward-thinking, creative, and global organization./ph3Essential Duties and Responsibilities/h3pstrongExecutive Support/strong/pulliOwn and manage the CEOs calendar, applying a strategic and holistic approach to optimize time, priorities, and impact./liliManage the CEOs email inbox, triaging and actioning inbound messages and drafting communications./liliBook travel and logistics for frequent domestic and international trips./liliServe as a key liaison between the CEO and internal/external stakeholders, ensuring clear and timely communication./liliPrepare the CEO for meetings and events by developing agendas, gathering materials, and providing briefings./liliAttend meetings as needed to take notes, track action items, facilitate follow-through./liliComplete administrative tasks such as expense reports./liliGreet obstacles or unexpected changes with good nature and a back-up plan, adapting quickly in our dynamic environment./liliServe as a friendly, knowledgeable, and firm ambassador for the CEO, protecting their time while still ensuring a positive and responsive experience for all./liliProvide occasional personal administrative support as needed./liliProvide admin support to enterprise leaders as required./liliRemain flexible on working location throughout the week, flexing between our Bay Area showrooms./li/ulpstrongEnterprise Support/strong/pulliLead a revamp of Insidesources corporate travel program, and serve as the primary point of contact for employee questions going forward./liliOrganize Insidesources annual leadership offsite, including logistics, bookings, invites, itinerary support, etc./liliManage or support special projects and cross-functional initiatives as requested./liliProactively build relationships across the enterprise./li/ulpstrongInsidesource Core Responsibilities/strong/pulliExemplify Insidesource values of Team First, Client Led, Change Makers, Experience Focused./liliParticipate in All Company Meetings and Regional Town Halls./liliEmbody diversity, equity, and inclusion in our Insider community and business practices./li/ulpstrongSupervisory Responsibilities/strong/ppNone/ppstrongSkills, Knowledge, Experience Required/strong/pulli5+ years of experience supporting a CEO, founder, or senior executive in a complex, fast-paced environment./liliStrong instincts around time management, prioritization, and calendaring./liliA natural affinity for thinking three steps ahead and planning for the unplanned./liliSound judgment with the confidence to make decisions, set boundaries, and guide stakeholders effectively./liliDemonstrates good judgement, integrity, and discretion in handling sensitive information./liliComfortable toggling between personal and professional admin support./liliPoised and polished, with a natural customer service mindset; fluid interpersonal skills and comfort interacting effectively with a wide range of people, both internal and external to Insidesource./liliCuriosity and a desire to learn: a broader understanding of the intricacies of Insidesource will support success in the Executive Assistant role./liliProficiency in Microsoft Office Suite, especially Outlook; quick to learn new tools and systems./liliMust hold a valid drivers license and have a car./li/ulpThe anticipated salary range for this role is $95k - 120k.
Actual compensation will be determined based on factors such as experience, skills, qualifications, geographic location, and internal equity./p/div
