Job Description Job Description Job Description 10620 Executive Assistant (Fully in office) Our client is seeking an experienced and highly professional Administrative Assistant to support four Senior Managers and help ensure seamless daily operations. This individual will play a critical role in maintaining organization, managing complex logistics, and supporting high-level executives in a fast-paced, entrepreneurial environment. The ideal candidate is calm under pressure, technologically proficient, and brings a strong sense of ownership and follow-through to their work.
CORE RESPONSIBILITIES Executive & Team Support Manage complex calendars for four Senior Managers, including coordinating internal and external meetings Coordinate domestic travel arrangements (primarily business, some personal as needed) Prepare detailed itineraries and ensure seamless logistics for meetings and travel Serve as a key point of contact for internal team members and external stakeholders Meeting & Event Coordination Prepare materials and binders for client and internal meetings Coordinate full-day conferences and investor meetings, including scheduling, room setup, AV coordination, and catering Manage RSVPs and event logistics to ensure polished execution Administrative & Operational Support Draft correspondence and manage incoming communication as needed Maintain organized electronic and physical filing systems Create, update, and format documents, presentations, and spreadsheets Ensure smooth day-to-day office operations and readiness for client-facing interactions Support ad hoc projects and special initiatives as assigned COMPETENCIES FOR SUCCESS Even-keeled and calm under pressure Technologically savvy with strong proficiency in the full Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) Highly organized with exceptional attention to detail Strong verbal and written communication skills Professional presence and ability to interact confidently with senior leaders and investors Proactive, resourceful, and solutions-oriented Able to prioritize multiple responsibilities and pivot as needs evolve Discreet and trustworthy with confidential information Team-oriented with a positive, service-focused mindset IDEAL PROFILE 5+ years of experience supporting senior-level executives Experience in investment management, financial services, or other fast-paced professional environments preferred Demonstrated ability to manage complex scheduling and logistics Strong follow-through and ownership mentality Comfortable in an entrepreneurial setting where responsibilities may evolve Company Description Thomas Edwards Group is an Executive Search Firm specializing in the direct hire and interim placement of Accounting, Finance, HR and IT professionals.
