Job Description
Role Overview The Executive Assistant provides administrative, coordination, and information-gathering support to the President. This role focuses on meeting logistics, calendar management, executive documentation, presentation preparation, and supporting leadership with data and materials required for decision-making. This is a mid-level Executive Assistant role.
The focus is on execution, organization, and follow-through rather than independent executive judgment or strategic decision-making. Key Responsibilities Calendar & Meeting Coordination - Manage the President’s calendar for executive meetings, off-site sessions, and internal reviews - Coordinate meeting logistics including room bookings, catering/lunches, and meeting materials - Ensure meetings are scheduled with clear agendas and appropriate preparation Meeting Support & Follow-Up - Attend executive and off-site meetings as required - Take structured meeting minutes and notes - Prepare and send follow-up emails outlining action items and next steps - Track follow-ups and support accountability across participants - Occasional office administration support Executive Summaries & Presentations - Gather information from management and department leaders - Prepare executive summaries, briefing notes, and PowerPoint presentations - Format content into clear, professional, executive-ready materials - Townhall preparations Research & Data Support - Conduct research and summarize findings for leadership review - Compile and consolidate data from multiple sources into clear summaries - Support leadership reporting by packaging information in accessible formats ERP & Dashboard Coordination - Work with departments to ensure information is captured in ERP systems and dashboards - Read and interpret dashboard data - Identify gaps or inconsistencies and follow up with relevant teams Tools & Technology - Daily use of Microsoft Outlook, Word, Excel, PowerPoint, and Teams - Strong Excel skills including tables, filters, basic formulas, and summaries - Comfortable learning new systems and tools Qualifications & Experience - Minimum 4 years of experience in an Executive Assistant or similar administrative support role - Strong proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook, Teams) - Highly organized with strong attention to detail - Clear written and verbal communication skills - Comfortable working with multiple departments and senior stakeholders Compensation Target salary range: $75,000- $80,000
