Role Description This is a full-time, on-site role for a Project Coordinator, based in Ottawa, ON.
The Project Coordinator will oversee the planning and execution of both business operations and client-focused projects, ensuring timelines, budgets, and deliverables are met. Responsibilities include monitoring project milestones, preparing reports, and coordinating with cross-functional teams. Project Lifecycle Support: Assist with tracking project timelines, deliverables, and budgets from initiation through closure.
Documentation Management: Create, maintain, and organize project documentation, including project plans, status reports, meeting minutes, and action registers. Communication: Facilitate clear and timely communication between internal teams (engineering, sales, finance) and external stakeholders or clients. Scheduling: Coordinate and schedule project meetings ensuring all participants are prepared and objectives are clear.
Project Deliverables & Logistics: Manage and track the execution of project deliverables, including coordinating all necessary logistical arrangements (e.g., shipping, equipment tracking, site access) to ensure timely fulfillment. Continuous Improvement and Process Development: Drive operational efficiency by analyzing current processes, identifying areas for continuous improvement, and developing/implementing streamlined workflows and operational procedures. Experience and Qualifications: 3 -5 years of experience is preferred Effective communication skills, both written and verbal, for collaborating with diverse teams and stakeholders Organization and time management expertise to handle multiple tasks and deadlines efficiently Analytical and problem-solving abilities for identifying and resolving project issues Proficiency in Google Suite Experience in the aviation, defence or technology industry is a strong asset A Bachelor’s degree in Business Administration, Project Management or a related field is preferred Ability to work effectively in an on-site, collaborative team environment in Ottawa, ON, with a proactive and adaptable mindset
