Role: Program Manager & EA - CEO's Office
About the RoleWe are looking for a sharp, high-ownership individual to serve as the operational and strategic right hand to the CEO at Meolaa. This is a dual role part Program Manager, part Executive Assistant and it demands someone who can hold context across the entire business, drive execution on critical initiatives, and ensure the CEO's time and attention are always pointed at what matters most. What You'll Own:
CEO Office & SchedulingOwn the CEO's calendar prioritise ruthlessly, protect deep work time, and ensure every meeting has a purposeManage travel, logistics, and scheduling across internal and external commitmentsPrepare the CEO for meetings briefing notes, context documents, and pre-readsHandle sensitive correspondence and communications on behalf of the CEOAct as the first point of contact for the CEO's office filter, triage, and respondProgram ManagementTrack and drive cross-functional initiatives from the CEO's office own the to-do list that cuts across teamsBuild and maintain a live dashboard of key priorities, decisions pending, and open loopsFollow up with function heads on commitments made in leadership meetingsIdentify bottlenecks, escalate risks early, and keep projects moving without waiting to be askedOwn the rhythm of the business leadership meetings, board prep, monthly reviews, and OKR trackingStrategy & ResearchConduct research and build quick analyses to support CEO decision-makingPrepare investor updates, board decks, and strategic documentsSynthesise inputs from across the business into clear, concise briefsSupport evaluation of new opportunities, partnerships, and initiatives with structured thinkingInternal Communications & CultureOwn internal communications from the CEO's office town halls, team updates, and key announcementsHelp drive culture initiatives and ensure the CEO's priorities land clearly across the organisationBe the connective tissue between the CEO and the rest of the team
Who You Are3-6 years of experience in a Chief of Staff, EA, Program Management, or Founder's Office roleExceptionally organised you run on systems, checklists, and follow-throughHigh discretion - you will handle sensitive information and must be trusted completelyStrong written and verbal communication you can draft a board update as easily as a WhatsApp messageFast learner with strong business acumen you pick up context quickly and connect dots across functionsProactive by default you don't wait to be told, you anticipatePrior experience in a startup or high-growth environment is strongly preferredMBA from a Tier 1 institution is a plus, but not mandatory - we care more about how you think and execute
