The JobAs Operations & Projects Specialist, you will support the day-to-day running of their operations and their chapters in Singapore and Sydney, while helping their systems and ways of working scale to future city chapters as we grow. You will help drive change and operational improvements, support efficient member-facing processes and systems, and maintain their CRM data and automations. The role also includes supporting member queries, producing their monthly newsletter, and maintaining visibility of member engagement for Leadership Team reporting.
Working cross-functionally with leadership, you will anticipate operational needs and bring a structured, project-minded approach to supporting their ongoing growth.
This role is ideal for someone who is organised, detail-oriented, and proactive, with strong communication skills.
Key ResponsibilitiesOperations & AutomationsEnsure the smooth daily operation of member processes, including monitoring automated workflows and completing manual tasks where required.Proactively identify and resolve issues with automations, escalating to technical resources where needed.Projects & ChangeLead initiatives to improve the platform and automations, focusing on optimising the member journey to increase long-term retention.Scope, plan, and manage operational improvement projects from initiation through to implementation.Maintain and refine process documentation and internal playbooks to reflect current workflows.Member Engagement & ReportingManage the general email inbox and WhatsApp communications, responding to common member enquiries and directing more complex matters to the appropriate team member.Prepare and distribute the monthly member newsletter.Build and maintain a dashboard to track key member activity statistics, providing regular visibility to leadership on engagement trends.The ProfileYou have at least 2 years of experience in an operations, projects, or change management role, with a preference for candidates who have worked directly with senior management.You have demonstrated experience delivering operational improvement projects or managing change in a fast-moving environment.Exceptional organisational skills, superb attention to detail, and timely responsiveness are a must.You are comfortable working with databases and able to query and visualise data for analytical and reporting purposes.You are comfortable working with and picking up digital platforms, including GSuite, AirTable, Zapier, PandaDoc, DocSend, and Mailchimp.You have the professional polish, including high-quality English written and verbal communication skills, and the ability to demonstrate grace and composure under pressure.Integrity and discretion in handling confidential information.
