Job Description Job Description Salary: $55,000.00 - $65,000.00 per year Job description: Overview We are a rapidly expanding ABA therapy organization committed to transforming lives through evidence-based behavioral health services across New York City, Long Island, and Westchester County. LTE Care Plus is growing, and our executive leadership team is expanding too! We are actively seeking two (2) highly skilled Executive Assistants to provide dedicated, high-level support to members of our C-Suite at our Melville, NY headquarters.

What We're Looking For Bachelor's degree in Business Administration, Healthcare Administration, or related field (or equivalent experience) 35+ years supporting C-suite or senior leadership as an Executive Assistant or Chief of Staff Advanced proficiency in Microsoft Office Suite & Google Workspace Outstanding written and verbal communication skills Healthcare or behavioral health experience is a strong plus Familiarity with HIPAA standards and regulated clinical environments preferred Duties Manage executive calendars with precision, scheduling appointments, meetings, and travel arrangements while prioritizing urgent matters. Prepare, proofread, and organize correspondence, reports, presentations, and other documents to ensure clarity and professionalism.
Coordinate internal and external meetings, including booking venues, arranging catering, preparing agendas, and taking detailed minutes. Serve as the first point of contact at the front desk, greeting visitors with excellent phone etiquette and providing exceptional customer service. Handle multi-line phone systems efficiently, screening calls and directing inquiries to appropriate team members promptly.
Maintain organized filing systems, both digital, using Google Workspace, and physical, to ensure quick retrieval of information. Support office management tasks such as supply ordering, data entry in QuickBooks or other accounting software, and bookkeeping when necessary. Assist with personal tasks for executives as needed, including calendar management and personal errands coordination.
Provide administrative support for special projects by conducting research, preparing materials, and managing deadlines. Demonstrate strong computer literacy across Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant tools to streamline daily operations. Qualifications Proven experience as an executive assistant or in a similar administrative role within an office environment.
Exceptional organizational skills with keen attention to detail; able to multitask effectively under tight deadlines. Strong computer skills and etiquette, including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Calendar, data entry, and general office software. Excellent communication skills, bilingual candidates are highly encouraged to apply, and professional phone etiquette.
Experience with office management tasks such as filing systems, calendar management, appointment scheduling, and clerical duties. Familiarity with multi-line phone systems and front desk operations; previous medical or dental receptionist experience is a plus. Ability to handle confidential information discreetly while maintaining a positive attitude in a fast-paced setting.
Knowledge of bookkeeping or QuickBooks is advantageous for supporting financial recordkeeping tasks. Strong time management skills coupled with the ability to proofread documents meticulously for accuracy.
