Position Overview
Arixa is seeking a proactive, process‑driven Director of Client Relations & Processing to lead and optimize our Client Relations and Processing teams. This role is critical to ensuring loans move from origination to underwriting and through clear‑to‑close efficiently, accurately, with exceptional communication, and while maintaining our high‑touch client experience.
The ideal candidate is an organized, detail‑oriented lending operations leader (ideally in private lending) who anticipates issues, designs solutions, and drives continuous improvement. They will elevate borrower communications, standardize documentation quality, and enforce scalable processes. This leader will build a culture of accountability, critical thinking, and independence through training, coaching, and measurable operating rhythms.
This position reports to the SVP of Loan Operations and offers a competitive base salary, generous bonus, and benefits program.
Summary of Primary Duties and Responsibilities
- Lead, develop, and manage the Client Relations and Processing teams through effective hiring, onboarding, training, coaching, and performance management.
- Own daily pipeline oversight from LOI through funding, proactively identifying bottlenecks and ensuring timelines are met.
- Establish and enforce documented processes, SLAs, and operating standards that improve speed, accuracy, borrower communication, and compliance.
- Ensure high‑quality documentation intake and first‑line review, confirming completeness, accuracy, and alignment with credit policy before underwriting escalation.
- Champion an exceptional borrower experience by standardizing touchpoints, ensuring consistent messaging, and handling escalated issues.
- Collaborate cross‑functionally with Originations, Underwriting, Closing, Servicing, Compliance, Accounting, and Technology to streamline workflows and improve handoffs.
- Oversee third‑party report workflows including credit reports, background checks, flood determinations, FundingShield, insurance verification, payoffs, and title/escrow coordination.
- Maintain Salesforce data accuracy and pipeline hygiene; partner with Technology to enhance system workflows, templates, and automations.
- Monitor operational metrics, build dashboards, and report pipeline status, SLA performance, and risks to senior management.
- Identify and implement process improvements, technology enhancements, and training initiatives that drive scalability and reduce recurring issues.
- Manage vendor relationships with title, escrow, and other third parties to ensure timely delivery of essential documentation and consistency of service.
- Maintain and continuously refine department policies, procedures, SOPs, training materials, and best practices to support operational excellence.
- Other duties may be assigned as needed.
Education and Experience
- Bachelor's Degree preferred; advanced education/certifications in business, finance, or related fields a plus.
- 8–10+ years of lending operations experience, ideally within private lending, including 3+ years leading processing and/or client‑facing operations teams.
- Demonstrated success designing and implementing scalable processes that improve speed, quality, and compliance.
- Deep knowledge of bridge and construction loan workflows; familiarity with title/escrow, third‑party reports, and insurance requirements.
- Collaborative team leader and mentor, skilled at empowering staff and fostering independence.
- Exceptional communication (written and verbal) and stakeholder management skills.
- Highly organized, detail‑oriented, and effective in a fast‑paced, deadline‑driven environment.
- Proficient with Salesforce (or comparable LOS/CRM); strong comfort with technology, automation, and related tools.
Compensation
This position is exempt full‑time, with salary range: $140,000 - 150,000 depending on experience level, plus discretionary bonus potential.
