About the RoleMSG Promotions is looking for an experienced, organised, and proactive Administrative Assistant / Office Coordinator to support the daily operations of our growing business.We are seeking candidates with 3-5 years of professional administrative experience who are comfortable handling supplier coordination, invoicing, CRM management, customer communication, and operational support within a fast-paced hybrid work environment.The ideal candidate should be detail-oriented, dependable, and capable of independently managing multiple responsibilities while coordinating with UK-based operations and teams.
Key ResponsibilitiesAdministrative SupportProvide day-to-day administrative support to the management teamMaintain company records, databases, documents, and filing systemsAssist with scheduling meetings, appointments, and office coordinationCarry out general administrative and operational tasks
Supplier & Order ManagementPlace supplier orders and monitor deliveriesMaintain supplier records and communicationsFollow up on outstanding orders and delivery schedulesCoordinate with suppliers regarding operational requirements.
Invoicing & Accounts AdministrationRaise customer invoices accurately and on timeProcess purchase invoices and maintain financial recordsAssist with payment tracking and invoice reconciliationSupport account managers with finance-related administration
Customer Service & CommunicationManage company email accounts and customer enquiriesCommunicate professionally with customers regarding orders, invoices, and support requestsEnsure prompt and professional responses across all communication channels.
Data Management & ReportingCollect, organise, and maintain company data and recordsPrepare spreadsheets and reports when requiredAssist in improving administrative efficiency and workflow organisationMaintain confidentiality and accuracy of company information
Skills & Requirements3-5 years of professional administrative or office coordination experience Strong organisational and time management skillsExcellent written and verbal communication skillsAbility to multitask and prioritise responsibilities effectivelyStrong attention to detail and accuracyProfessional and reliable attitudeStrong customer service and coordination skillsAbility to work independently in a hybrid environmentExperience using HubSpot or CRM-based systems is a mustStrong proficiency in Microsoft 365, Google Workspace, spreadsheets, and email management systemsComfortable coordinating with UK-based teams and varying work schedules when required
Preferred Experience3 - 5 years of experience in an administrative or office assistant roleExperience with invoicing and accounts administrationFamiliarity with supplier management and customer serviceExperience managing customer records, pipelines, and communications through CRM software
