We are currently recruiting a AO for our client based in Belfast, Stormont. The successful candidates will be required to start once the vetting paperwork and ANI completed. Start date: ASAP Rate of pay: £13.75ph Hours of work: 37 Full time 9 - 5pm Mon to Fri Key Responsibilities: L&D AO Support Officer - Job Specification
To provide efficient, effective, and responsive administrative support to the Civil Contingencies Policy Branch within TEO as part of their learning and development team.
Provide on-site support for L&D courses - access to transport
Information Management Processing e-mails, correspondence, papers etc on arrival - identifying those requiring urgent action, highlighting deadlines and action points, attaching related papers, and passing to the relevant person(s) for action.
Answering or escalating incoming queries based on knowledge of caller or issues raised.
Logging the various information types received, tracking responses, and chasing up outstanding responses to ensure deadlines are met.
Typing, compiling, and issuing e-mails, letters, acknowledgements, minutes etc.
Pulling inputs together from various sources into a coordinated response.
Scanning, reformatting, and updating documents, standardising layouts, and creating templates / databases.
Daily maintenance of dedicated shared inboxes, e-mails, documents, correspondence, papers and files, in both paper and electronic filing systems - copying, cataloguing, filing, retrieving, archiving, reviewing and deleting / destroying in accordance with guidance and protocol.
Opening and maintaining electronic filing on CM records management system
Event & hospitality booking & management
In person administrative support at learning events and courses (transport required as throughout NI).
Miscellaneous
Assisting in maintaining expenditure records.
Assisting in specific Director level returns i.e. Gifts and Hospitality returns
Monitoring the level of stationery supplies/office consumables & PPA for on- and off-site projects.
Recording, producing, and issuing minutes of meetings where necessary
Assisting with document retrieval exercises
Assisting with arrangements for meetings and working groups for internal and external stakeholders.
Assisting in departmental audits Essential Criteria applicants must have: Policy Development - experience of developing policy alongside good written and analytical skill
Project management - experience of liaising with different departments/ delivery leads to ensure work is delivered on time to a high standard. A degree with a minimum of 12 months' experience Desired Experience of website and accessibility and compliance
Experience of website performance monitoring
